Meetings & events

Elves Hotels has one meeting and event space: the restaurant hall on the ground floor, run by our own team. It is rented through sales rather than booked online, because the same room serves breakfast in the morning and works as a licensed café-bar through the day — so the hours are agreed with you. Season one opens on 1 December 2026 with 24 suites, which means a group can meet and sleep under one roof.

The figures on this page are indicative. Room capacity depends on how you want it laid out and what technology you need, so sales confirms both — along with the price — in your proposal.

VAT included. Delegate packages start at 10 people, and an exclusive evening carries a €600 minimum spend. Prices are indicative and confirmed in your proposal. Companies with an account with us are invoiced in advance — say so in your brief and we will set it up.

The room, honestly

There is one hall, and it is the restaurant's own dining room on the ground floor. In the morning it serves breakfast to the house. Through the day it is a licensed café-bar. In between, and in the evening, it is the room your group meets in.

That is why events go through our sales team rather than a booking form: we agree the hours with you, so your group has the room when it needs it and nobody walks in on your session.

It is a new building. There is step-free access throughout and a lift to every floor, so nobody in your group is routed around the back.

We have not photographed the hall laid out for a meeting yet — the picture above shows it as it is set for service.

Where the group sleeps

Suites rather than standard rooms — each one has a kitchen, a washing machine and free Wi-Fi, and most have a private sauna.

Season one opens with 24 suites. If your group is larger than that, say so in your brief: the Insider Visit family manages more than 500 rooms and apartments around Rovaniemi, and sales can put the whole stay in one proposal.

We sell Rovaniemi Insider's own activities, so a husky safari, a snowmobile trip or a northern-lights hunt goes into the same proposal as the room. The Arctic Circle runs straight through the village.

How many people fit in the meeting space?

One room, laid out to suit the day: roughly 100 standing, 80 theatre-style, 60 for a seated dinner, or 20 around a single table. It is the hotel restaurant, so treat these as indicative — tell us your group size and how you want it laid out, and sales confirms what the hall takes for that setup.

Can the whole group stay at the hotel?

Season one opens on 1 December 2026 with 24 suites. If your group is larger than that, say so: the Insider Visit family manages more than 500 rooms and apartments around Rovaniemi, and sales puts the whole stay into one proposal rather than sending you elsewhere.

What does the hire include?

Screen, wireless sharing, speakers and a microphone, a lectern, a flip chart, blackout curtains and power at every table — plus free Wi-Fi for the whole group and step-free access with a lift to every floor. Catering, drinks, suites, activities and transfers are quoted alongside.

What does it cost?

Room hire is €350 for a half day and €550 for a full day. Delegate packages including the room, coffee breaks and lunch are €49 and €69 per person, from 10 people. VAT is included, and the figures are indicative until your proposal confirms them.

Can our company be invoiced?

Yes. Companies that have an account with us are invoiced in advance. If this is your first booking with us, email sales or call reception and we will open the account before your event.

Can you cater for special diets?

Yes, all the common special diets. Tell sales when you send the brief and the kitchen builds the menu around it. Allergens are marked on the day, and the kitchen team is there if anyone wants to ask.

What are the suites like?

Four types, from 29 m² for two up to 55–60 m² for seven. Every one has a kitchen, a washing machine and free Wi-Fi, and most have a private sauna. Breakfast is served 7–10 and is included in the rate in season.

How do we get there, and where do the cars go?

Rovaniemi Airport is about ten minutes away by car, the city centre is 8–10 km, and the Santa Claus Express night train runs up from Helsinki. Parking is reserved through reception — tell us how many cars you need. If you are arriving by coach, we will confirm the coach parking with you separately.

How do we book, and when will you reply?

Send the brief through the form on this page or email sales@insidervisit.com, and sales comes back with one proposal covering the room, the catering and the suites. The hotel opens on 1 December 2026 and is taking bookings now. If it is urgent, reception answers on +358 50 377 6138 around the clock.

Can we book it for a private party?

Talk to sales. It is a working restaurant serving other guests, so exclusive evening use is agreed case by case and carries a €600 minimum spend. Quiet hours in the hotel run from 10pm to 7am, and parties are not held in the suites.
